What is the Presbyterian Youth Triennium?

The Presbyterian Youth Triennium (PYT) is an ecumenical event hosted by the Presbyterian Church (U.S.A.) and the Cumberland Presbyterian Church that gathers high school age young people every 3 years. It is a well-planned and thoughtfully led event focused on worship, disciple making, Christian compassion & justice and biblical/theological education. It is also a catalyst for many young people to take the next steps in their faith.

When is Triennium?

The next Triennium will be held July 28-31, 2025.

The 2028 Triennium is scheduled for July 24-27, 2028.

Where will Triennium be held?

The 2025 and 2028 Trienniums will both be held in Louisville, Kentucky.

The majority of PYT will take place at the Kentucky International Convention Center (KICC). Participants will stay at nearby, Triennium-designated hotels at special event rates.

Who can attend Triennium?

Youth Participants (YP) who are entering freshmen through graduated seniors in high school and are active in PC(USA) or Cumberland Presbyterian Church. Youth Participants do not have to be official church members.

Adult Advisors (AA) who are aged 22 & over and are recommended and affirmed by their church, mid council, and/or caucus to serve as delegation chaperones.

Global Partners (GP) who are youth and adults from partner churches and ministries that are invited, hosted, and sponsored by PC(USA) or CPC delegations or attend the event “on their own” from an official partner ministry of the PC(USA) or CPC.

Young Adults (YA) who are 19-25 years old and are active in PC(USA) or Cumberland Presbyterian Church. Can participate as part of the “Service Track,” (formerly known as Work Crew) working behind the scenes of the event, or “Leader Lens Track,” focused on developing leadership skills, theological exploration and experiences for a new kind of church leader.
Caregivers (CG) who are adults that serve as a medical or comfort aid to participants.

What do Adult Advisors do?

Adult Advisors are full Triennium participants. They stay in hotels and participate in all scheduled activities, including participating in Groups. They care for the youth in their delegations, and they serve as role models throughout the event.

How old do Adult Advisors need to be?

Adult Advisors must be at least 4 years older than the oldest youth they might supervise. In most cases, this means Adult Advisors must be at least 22 years old by Triennium.

How many Adult Advisors does each delegation need?

Each delegation should have at least 1 Adult Advisor for every 10 youth participants of the same gender.

We encourage a safe and balanced group of Adult Advisors that reflects the makeup of the delegation’s youth participants. If a delegation has interest, space, and budget, additional adults are great! Please keep in mind, however, that “extra” adults should not take the place of youth who could otherwise attend.

What is the participant fee for Triennium 2025?

$199 is the participant fee for youth participants in 2025. This cost includes all programming, meals during the event, registration costs, an event T-shirt and more!

$219 is the participant fee for adult participants (Adult Advisors, Young Adults, etc.) which includes everything listed above plus a background check fee.

*Please note that the participant fee does not include the cost of housing.

What is the cost of housing for Triennium 2025?

The average cost per room, per night at a Triennium-designated hotel is $169 (plus taxes). Please reach out to your delegation registrar to find out the cost breakdown per participant for your delegation.

Is staying at a PYT hotel required as part of PYT 2025 registration and attendance?

Yes, staying at a PYT hotel allows our event to take place – everything from Groups to Community Life is positively impacted by delegations being housed in our hotel block. Please do not make other housing arrangements.

Registrars must reserve housing for their delegations through Louisville Housing and not directly with hotels or through a different third-party.

How do I register for the 2025 Triennium?

Youth Participants, Adult Advisors, Global Partners, and Caregivers all register for Triennium with a delegation.

Young Adults, Work Crew, and Observers register for Triennium as individuals. More information about this will be available when registration opens.

What is a delegation?

A delegation is a group from a Mid Council, church, or Presbyterian caucus that registers for, travels to, and attends Triennium together. Most delegations are sent from presbyteries.

Delegations register together as a group. For this reason, it is important that each delegation has an appointed delegation registrar.

Beginning in 2024, the Office of Presbyterian Youth and Triennium invites all Mid Councils, churches, and Presbyterian caucuses to begin building their delegations and appointing their delegation Registrars for Triennium 2025.

When does registration open for the 2025 Triennium?

Official Triennium registration will open February 3, 2025.

Some delegations may begin their own registration process before then, so be sure to pay attention to your delegation’s specific deadlines and registration requirements.

When can delegation registrars book housing?

Delegation registrars can book housing for their delegations beginning February 3, 2025, after their delegation is registered for Triennium.
*Please note that housing must be booked directly through Louisville Housing at a Triennium-designated hotel in order to participate in Triennium.

Can a group traveling a longer distance or arriving early stay at their hotel on Sunday, July 27th?

Yes, a small number of rooms will be blocked off for Sunday, July 27th at PYT rates. Registrars will just need to indicate early arrival date when they reserve their rooms through Louisville Housing.

If a delegation is flying to Triennium, which airport is best to fly to?

We recommend that delegations fly into the Louisville Muhammad Ali International Airport (SDF). Louisville’s airport is only 7 miles (10 minutes) from downtown Louisville.

How do delegations get from the airport to the event?

Delegations will need to arrange a shuttle or ride-share (depending on the size of the group) from the Louisville Muhammad Ali International Airport (SDF) to the Kentucky International Convention Center (KICC) or their hotel. Shuttle recommendations will be available in 2025.

What is the deadline for completing registration?

What happens if a delegation isn't paid in full by the registration deadline?

If a delegation is paying with a credit card, the delegation must be paid in full by June 13th, 2025. If a delegation is paying by check, the check must be postmarked by June 13th, 2025. If this does not happen, each person in the delegation will be assessed with a $40 late fee. Exceptions may be made if the registrar communicates well ahead of time to the National Registrar and this exception has been approved by the Office of Presbyterian Youth and Triennium.

How do delegations pay with a check?

Please note, if you are paying by check, please provide the following instructions to your treasurer or the person in charge of the money. Also ask them to provide you with the check number. You will need to include the check number in the online registration system. All the checks used to pay for this event (and others) are sent to the lockbox in Pennsylvania. It is much easier to identify your payment if we can match the check number you provide in the online registration system with the check number that comes through the lockbox.

    • In the memo line, write “SE25001”
    • This number is VERY important as it is the only way to ensure that the money goes to the Triennium.

How do delegations pay with a credit card?

Follow the instructions for registration and payment in the Registration Instructions PDF in the Registrar Kit.

Please note, If your delegation is paying by credit card, check with your treasurer or the person in charge of the money to see if the credit limit needs to be raised. The number one reason that payments do not go through is because the credit limit has not been raised. Most banks can raise the credit limit for a one-time, large purchase if you ask.

What is your cancellation policy?

Registration cancellations received before 5pm ET on June 13th, 2025, will receive a partial refund of $100. Due to the nature of our event registration, all refunds will be issued post-event. Refunds will be issued using the same method with which we received payment and go to the party from whom we directly received payment. (In many cases this means the refund will go to the presbytery or church – not the participant. The presbytery or church is then responsible for issuing any refunds to their participant(s).)

Instead of canceling, we strongly suggest finding a substitute. We will accept substitutions in the same participant role through June 13th. Any substitutions received after 5pm on June 13th will incur a late fee of $40.00 per participant.

Can a delegation replace someone who has cancelled with someone who signed up late?

Yes! Up until 5pm ET on June 13th, delegations can substitute participants without any penalty or fee. If the substitution occurs after regular registration closes, there will be a $40 late fee per substitution. Late registration closes at 5pm ET July 3rd, 2025.

When is a delegation’s registration considered complete?

For a delegation’s registration to be finalized, the following will need to be completed:

  • The Delegation Information Spreadsheet filled out and submitted to the National Registrar at Analise.Brown@pcusa.org.
  • The Delegation paid in full on the PCUSA Registration & Payment Site.
  • Every person in the delegation has completed their Participant Information, Medical, and Release Form available online.
  • All adults in the delegation have completed the Background Check Policy and Abuse Prevention Policy processes.
  • Note: Each person in a delegation must be fully registered by June 13th 5pm ET.

Who assigns roommates for delegations?

Delegation registrars do! Registrars will need to provide a rooming list to Louisville Housing by May 22nd. Reservations made after May 22nd will require names to be provided upon booking.

What happens if a delegation has an odd number of participants in their group and one of the participants doesn't have a roommate?

It is up to the delegation to determine the best housing options for their group. “Extra” participants will not automatically be paired with a participant in a different delegation. Louisville Housing has enabled a “request a roommate” option when reserving individual rooms. Please contact the National Registrar and/or Louisville Housing if you have a specific case you would like to discuss.

Can youth and adults room together?

A Youth Participant can only room with an adult if the youth requires a full-time Caregiver. If this is the case, the delegation registrar will need to provide a written explanation and indicate this to the National Registrar when they submit their Delegation Information Sheet. Please contact the National Registrar with any questions.

Can Adult Advisors who are married room together?

Yes, this is permitted in the hotels if it is approved by your delegation.

Which hotel would you recommend for a bus driver?

We do not recommend a specific hotel for bus drivers. Unlike participants, they are not required to book through Louisville Housing and stay at a hotel in the PYT block. However, they are more than welcome to and would be able to receive the PYT rate.

Is there childcare at Triennium?

No. We do not offer childcare for the children of Adult Advisors at the Triennium. Adults who attend Triennium need to have their full attention focused on the youth they are accompanying. The Triennium is a fun event, but the days are long, and the attention needed by the Youth Participants is a full time “job” for Adult Advisors.

Occasionally an Adult Advisor must bring their child or younger youth. We know that the right adult advisors, with a child or without, are worth it! So, this is okay if the adult can still meet all of their responsibilities as an Adult Advisor (including late night emergencies) without childcare being provided and can cover the cost of housing for their child or younger youth. However, we do not recommend this simply because it can be very tough on adults trying to care for their children AND manage the role of Adult Advisor.

What’s the deal with background checks?

As part of our Abuse Prevention Policy, to be allowed onsite at the Kentucky International Convention Center (KICC), all adults must complete a Background Check screening. Background checks will be facilitated by the Triennium office after your delegation has registered.

All adults will receive an email with a link to consent to a background check which they must complete within a short window of time. The screening and report will then be generated immediately. The report will then be reviewed and approved. If there are any questions or issues with an adult’s report, Triennium staff will contact the registrar and/or adult directly.

If an adult has not completed their screening by the registration deadline, the registrar and adult will be contacted and given one final opportunity to comply. Again, a completed and approved background screening is mandatory for adult participation and registration.

If a participant has specific needs, how do I communicate these needs to the Triennium staff?

Registrars should communicate any participant needs directly to the National Registrar upon registration. Participants and/or their families can also note any participant needs when they complete the Participant Information, Medical, and Release Form online. If you have additional concerns or want to confirm that information has been received, please contact the National Registrar Analise.Brown@pcusa.org.

Will there be Work Crew at Triennium?

Work Crew is now part of the Young Adult Service Track.

Do registrars need to register Young Adults?

No, Young Adult participants can register for and attend Triennium on their own. In some cases, it may make sense for Young Adults to travel or register with a delegation. Registrars are welcome to help facilitate this, but are not responsible for Young Adult registration, transportation, or housing in 2025.

Will Young Adults be housed with a delegation during the event?

Young Adults will stay with other Young Adult participants and the Young Adult coordinators at Triennium. The link for Young Adults to book housing is provided in their registration confirmation.

What’s the deal with trading pins at Triennium?

Triennium youth love to trade small pins and wear them on their name badges! It can be an inexpensive and fun tradition that helps build community within a delegation before the event and between different delegations at Triennium.

Bring pins from regional sites or famous industries to represent your delegation. A good estimate of pins to bring is something around 10-15 per participant. Create your own delegation pins using online services or DIY crafting. Please make sure pins are appropriate for a youth event.

Note: There is to be no selling or buying of pins among youth at the event – this tradition is about trading and sharing.

How much is parking?

Parking options and costs vary from hotel to hotel. Parking details are highlighted on the Triennium Housing Site and hotel websites.
